Planning a Project

Our service providers are always glad to assist you, even during the earliest planning stages of a project. Any successful project requires careful preparation and forethought. We can provide help from the very beginning — including consultation about whether or not it makes sense to attempt a given project.

Some projects are relatively small, like installing new telephones or moving to a different building location, while a full office remodel may involve major planning. SDSU's service providers can help you to plan each of these for a successful outcome.

Timeline
Ask yourself, "When must this project be completed?" Working backwards is helpful in determining your critical dates, and it helps us schedule our projects in a timely manner. Remember that service providers may require lead time to complete your project, so contact them early on.

Disruption of Workplace

  • For extensive construction projects, staff may need to relocate to a temporary space. Check with your department lead or facility coordinator to determine temporary space availability.
  • Must some/all of existing furnishings be removed before space can be altered? Consider temporary storage of non-critical items.
  • Contact Moving Services to assist you with your move.
  • Even smaller projects may be disruptive:
    • Will departmental operations require that construction be accomplished while space is fully occupied? (How will staff work around this?)
    • Or, are there restrictions on the hours of work? (Must work be done during off-hours, night shifts, weekends?)

Review these questions as you plan your project

  • Will space use be changing?
For example, do you plan to convert an office into a seminar room? What will the new space require?

  • Is there special equipment to be installed?
For example: special laboratory equipment, air conditioning units, conferencing equipment. Will special environmental conditions (e.g., uninterruptable power) be required?

  • Will built-in modular or custom furnishings be installed?
Requests for installation of modular furniture are subject to review and approval by:
    • Facilities Planning & Management
    • Disabled Student Services
    • Physical Plant

Before ordering modular furniture, requesters should submit a Work Order to the Work Control Center for review. Maintenance/repair of modular furniture is the responsibility of the department; request by submitting a funded Work Order to the Work Control Center.

  • Are carpet or special floor finishes required?
The installation of carpeting is limited to specialized locations such as library, computer labs, conference rooms, office areas, and facilities requiring special acoustical treatment. Carpet requests for other areas are considered on a case-by-case basis.

  • Relocation/addition of lighting fixtures, telephone outlets, copier, FAX lines and/or data jacks?
Will you add/relocate lighting fixtures, telephones, Fax machine, copier? Add/relocate computers requiring Internet access? Relocation or addition of electrical outlets, circuit breakers or electrical sub-panels may be required to support added electrical equipment.

  • Card access or alarms needed?
All requests to install new or modify existing card access systems are reviewed by Public Safety. The purchase of any card access system must be approved by both Physical Plant and Public Safety. The requesting department must forward a Work Order to Physical Plant to develop the project.

  • In addition, note that space renovations / alterations might also involve:
    • Relocation or addition of return and supply air vents
    • Painting
    • Window coverings
    • Signage

There's a lot to consider when planning a construction, installation or alteration project. Remember that Physical Plant staff are available to help you from the earliest planning phase through completion of your project.
